Terms of service.

1. AGREEMENT

By engaging SAFAA (“we,” “us,” “our”) for travel planning and booking services, you (“client,” “traveler,” “you”) agree to the following Terms and Conditions. Checking the acceptance box on our booking form or making any payment toward your trip constitutes acceptance of these Terms.

2. NAMES OF PARTIES TO THE AGREEMENT

This Agreement is between SAFAA, a professional travel advisory company, and the Client identified in the booking form. Both parties acknowledge that this document governs all services provided by SAFAA in connection with your travel arrangements.

3. SCOPE OF SERVICES

SAFAA provides wellness-focused travel planning and booking services, including retreats, detox and longevity programs, and holistic travel experiences.

Services may include:

• Personalized consultation and selection of wellness resorts or retreats

• Coordination of accommodations, transfers, and activities

• Communication with trusted suppliers regarding confirmations and inclusions

SAFAA does not own, operate, or control airlines, hotels, or wellness centers. All such entities (“Suppliers”) are independent contractors responsible for their own services.

4. PLANNING FEES, DEPOSITS, AND PAYMENTS

• A non-refundable planning fee is required before itinerary research or proposal begins.

• Deposits and payments follow each Supplier’s policy.

• You are solely responsible for ensuring that all amounts due are paid on time in cleared funds.

• Failure to pay by the stated deadline may result in automatic cancellation by the Supplier, forfeiture of payments made, and loss of promotional pricing.

• Courtesy reminders may be sent, but payment deadlines remain your responsibility.

• If reinstatement is possible, you agree to pay Supplier penalties, fare differences.

• You agree not to initiate chargebacks for cancellations or penalties resulting from your failure to pay on time.

5. CREDIT CARD AUTHORIZATION & CHARGEBACKS

By providing payment details, you authorize SAFAA and its authorized suppliers to charge your credit card for approved travel services.

Chargebacks are not permitted unless the charge is due to verified fraud. Unauthorized chargebacks may result in termination of services and reimbursement of associated costs, including legal fees.

6. BOOKING ACCURACY & LEGAL NAMES

You are responsible for providing full legal names and correct information as shown on passports or government-issued identification. Name corrections or reissuance after booking may incur additional costs determined by Suppliers.

7. PRICING, INCLUSIONS, AND SERVICE DELIVERY

• All rates and inclusions are set by Suppliers and may change until final payment is made.

• Package inclusions (meals, wellness sessions, spa treatments, etc.) are Supplier-defined.

• Requests for bedding, early check-in, late checkout, or upgrades are subject to availability.

• SAFAA is not responsible for Supplier errors, expired promotions, or unavailable amenities.

• Refunds, if applicable, are processed according to Supplier terms and timelines.

8. BOOKING, RESERVATIONS, AND VOUCHERS

You will receive confirmation documents and digital vouchers directly from Suppliers or via SAFAA’s secure client platform.

Please review all confirmations promptly and report discrepancies within 48 hours of receipt.

9. CLIENT CREDIT CARD ON FILE

You authorize SAFAA to securely store your credit card for:

• Payment of Supplier balances or taxes approved in writing

• Adjustments required by Suppliers (e.g., currency shifts, surcharges)

• Administrative fees agreed upon in writing

No unauthorized charges will be processed.

10. AUTHORIZATION TO USE & WARRANTY OF PERSONAL INFORMATION

You authorize SAFAA to collect, store, and share necessary personal data (passport details, dietary or health preferences, emergency contacts) solely for booking and travel management purposes. You warrant that all provided information is accurate and current.

11. PRODUCTS & SUPPLIERS

SAFAA acts solely as an advisor and booking agent. Each Supplier (retreat, airline, resort, transport company, etc.) is responsible for its own performance and operations. We are not liable for Supplier acts, omissions, defaults, insolvency, or delays.

12. ITINERARY PRICES & FEES

Prices are quoted in U.S. dollars unless otherwise stated and may include:

• Retreat stay and inclusions

• Meals, wellness sessions, and amenities

• Local taxes and resort fees

• Airline or transfer charges

Final pricing may vary due to currency fluctuations or Supplier changes until paid in full.

13. AIRFARE CONDITIONS

Airfare is subject to each airline’s contract of carriage. Airlines may change schedules, routes, or aircraft without notice.

You are responsible for reconfirming flight details before departure and for any costs incurred due to missed flights or connections.

Lost tickets, baggage issues, or delays must be resolved directly with the airline.

You must comply with hazardous materials and insecticide notices as applicable.

14. CANCELLATIONS, CHANGES & REFUNDS

• Supplier penalties apply and may be up to 100% of the trip cost.

• SAFAA’s planning fees are non-refundable.

• A $75 cancellation fee per traveler applies in addition to Supplier penalties.

• Modifications incur a $50 administrative fee per change, plus Supplier costs.

• All changes and cancellations must be submitted in writing to info@safaa.travel.

• Refunds, if allowed, are subject to Supplier policies and timelines.

15. UNUSED ARRANGEMENTS & MINIMUM REQUIREMENTS

Unused portions of travel (e.g., early departures, missed activities) are non-refundable.

Group retreats may require a minimum number of participants; if not met, the Supplier may alter pricing, inclusions, or scheduling.

16. GROUP BOOKINGS

For multi-traveler bookings or private group retreats:

• Group rates and availability are confirmed only after written confirmation from the Supplier.

• Minimum group sizes may apply; if unmet, pricing or inclusions may change.

• Each group traveler is individually responsible for meeting payment deadlines.

• A single point of contact (the group leader) will coordinate all requests and communications with SAFAA.

• Substitutions or name changes may be permitted at the Supplier’s discretion but may incur additional fees.

• Group cancellations are subject to Supplier penalties and SAFAA’s administrative fees per traveler.

17. TRAVEL WITH MINORS

When traveling with minors, you must comply with all airline and immigration requirements, including consent letters or notarized authorizations if one parent or guardian is absent. SAFAA is not responsible for denied boarding or travel due to missing documentation.

18. WELLNESS, HEALTH & PARTICIPATION

Wellness retreats may involve physical activity, specialized diets, or detox programs. Participation is voluntary and at your own risk.

You are responsible for consulting a qualified physician before engaging in any wellness activities.

SAFAA is not liable for injury, illness, allergic reactions, or other medical outcomes during travel.

19. INTERNATIONAL TRAVEL RESPONSIBILITIES

You are responsible for obtaining valid passports, visas, and entry documentation for your destination(s).

Review official resources before travel: travel.state.gov (U.S. Department of State) and cdc.gov/travel (Centers for Disease Control and Prevention).

SAFAA is not responsible for denied entry, fines, or losses due to noncompliance.

20. ASSUMPTION OF RISK & RELEASE OF LIABILITY

You acknowledge that travel and wellness activities carry inherent risks, including illness, injury, property loss, or disruption.

By booking, you voluntarily assume these risks and release SAFAA from liability for events beyond our control, including those caused by Suppliers or force majeure circumstances.

21. TRAVEL INSURANCE

Comprehensive travel insurance (covering cancellation, interruption, medical, and evacuation) is strongly recommended and may be required by certain Suppliers.

If you decline coverage, you must sign a waiver releasing SAFAA from liability for financial losses or emergencies during travel.

22. COMMUNICATION

Clear communication ensures seamless service. You agree to review documents promptly and respond to all SAFAA communications in a timely manner.

Delays in response may affect booking accuracy or pricing.

23. NON-DISCLOSURE & CONFIDENTIALITY

All itineraries, proposals, and proprietary materials shared by SAFAA remain confidential and may not be shared, reproduced, or distributed without written consent.

24. CURRENCY FLUCTUATIONS

Exchange rates and Supplier costs may change without notice. The final trip cost is confirmed only once full payment has been processed by the Supplier.

25. INDEMNIFICATION

You agree to indemnify and hold harmless SAFAA, its owners, and contractors from any claims, damages, or expenses arising from your actions, misrepresentations, or breach of these Terms.

26. FORCE MAJEURE

SAFAA is not liable for delays or non-performance due to events beyond our control, including natural disasters, pandemics, government orders, strikes, or Supplier insolvency.

If such events occur, SAFAA is released from contractual obligations and not responsible for refund delays or Supplier decisions.

27. LIMITATION OF LIABILITY & MAXIMUM DAMAGES

Our liability, if any, shall not exceed the planning fees paid directly to SAFAA.

We are not responsible for consequential, incidental, or exemplary damages.

Your sole remedy for any claim is limited to the cost of our advisory services.

28. RESERVATION OF RIGHTS

SAFAA reserves the right to modify these Terms at any time. Updated versions will apply to future bookings and be made available via our website or email.

29. GOVERNING LAW, VENUE & JURISDICTION

These Terms are governed by the laws of the State of West Virginia, USA.

Any disputes shall be handled in Jefferson County, West Virginia.

30. ARBITRATION

Any dispute arising under this Agreement shall be resolved through confidential binding arbitration under the American Arbitration Association. Arbitration decisions are final and legally binding.

31. SEVERABILITY & NO WAIVER

If any clause is deemed invalid or unenforceable, the remaining provisions remain in effect.

Failure by SAFAA to enforce any clause does not constitute a waiver of future rights.

32. TRANSFER OF AGREEMENT

This Agreement cannot be transferred or assigned by either party without written consent.

33. HEADINGS

Headings are for reference only and do not affect interpretation.

34. NOTICE

All official correspondence must be sent in writing to info@safaa.travel or to the mailing address listed on our official website.

35. COUNTERPARTS / ELECTRONIC SIGNATURES

Electronic signatures or digital acceptance (including checkboxes or form submissions) are legally binding and equivalent to handwritten signatures.

36. ENTIRE AGREEMENT

This Agreement, together with our Privacy Policy, constitutes the entire understanding between you and SAFAA and supersedes all prior discussions, proposals, or agreements.
